Introduction
This policy outlines how Aotal Limited (a company registered in New Zealand, with company number 5435864) and its related companies (collectively, “Aotal”) manages your personal information. This privacy policy is intended to be legally binding on you and Aotal .
This privacy policy applies to all products and services offered by Aotal which includes but is not limited to our websites, SnapHire, Talent App Store and all Aotal apps delivered through Talent App Store. Your use of Aotal products & services will indicate your authorisation for Aotal to collect, use, disclose, store and process your personal information in accordance with this privacy policy.
This privacy policy might change
From time to time, Aotal may change this privacy policy and Aotal will notify you of any changes by posting the changed privacy policy on the Aotal website. If you don’t agree with the changes to this privacy policy then you must stop using Aotal products & services.

Our Roles
Aotal is committed to ensuring we are compliant with the New Zealand Privacy Act 2020 and other applicable regulations.
In respect of data collected in the delivery of Aotal products & services to customers and potential customers of Aotal, including the support of those products & services, whereby the collection of personal data is required for that delivery, the data controller is Aotal.
In respect of the data collected by our customers whilst using Aotal products & services to deliver primarily (but not limited to) recruitment and human resources services to job seekers and employees of customers, Aotal shall process personal information as a data processor on behalf of our customer. In this scenario our customer is the data controller. Our customer’s privacy policy in addition to this privacy policy, should be read and understood.

To provide Aotal products & services we collect from you:

- Personal information about anyone else that you give Aotal products & services to.
You must make sure that your personal information is accurate, complete, up-to-date and not misleading when it is disclosed to Aotal.
If you give to Aotal personal information about someone else, then you must be authorised to do so and you must tell that person about this privacy policy.
How Aotal collects your personal information
Aotal collects your personal information when you:
- Use the Aotal products & services on your computer, mobile, tablet or any other electronic device
- Register as a TAS Developer
- Submit your completed TAS Security and Privacy Questionnaire to Aotal
- Use Aotal support
- Communicate with Aotal via any communication channel
- Enter into any Aotal competitions and promotions
- Register for our events
- Apply for a job with us
- Choose to share your information with us for any other purpose
How Aotal will use your personal information
Aotal will only use your personal information:
- for the purpose of providing you with the Aotal products & services, including to:
- communicate with you
- provide technical and user support
- verify your identity
- administer your accounts
- provide you with a good user experience
- develop new features and content
- improve existing products and services
- determining your suitability for working for Aotal
- keep you updated on things that are happening at Aotal
- for any other purpose you authorise
- for the purpose of Aotal selling all or most of Aotal’s assets
- to comply with Aotal’s legal obligations
How long Aotal holds your personal information
Aotal will hold your personal information for as long as your personal information is required for the purposes it was disclosed and for as long as is necessary for Aotal to comply with its legal obligations.
How Aotal protects your personal information
Aotal will use reasonable care to protect your personal information from unauthorised access, use, modification, disclosure, and loss.
While Aotal utilizes secure connections for data transmission, the transmission of information via the Internet can not be guaranteed secure and as such any information you transmit to Aotal or Aotal transmits to you is transmitted at your own risk.
Aotal utilizes industry standard encryption AES-256 for the encryption of data and data at rest.
Where Aotal stores your personal information
Aotal stores your personal information in both New Zealand and the cloud (AWS Sydney region).
What happens if you don't give Aotal your personal information
If you decide not to give Aotal Your Personal Information, then you:
- will not be able to use the Aotal products & services;
- Can not be a TAS Developer; and
- won't be kept updated on things that are happening at Aotal
What happens if there is a privacy breach
In the event of a privacy breach that Aotal believes has caused (or is likely to cause) serious harm, we will notify the Office of the Privacy Commissioner and affected individuals as soon as possible.
Your Rights
To exercise any of the below rights please contact us at privacy@aotal.com and:
- let us have enough information to identify you,
- let us have proof of your identity and address.
- let us know the information to which your request relates.
Where you are a user of our products & services you should email us from the email address that you used to register with Aotal. Receipt of an email from this address may be sufficient to confirm your identity, however we may request one or more identification documents, such as a copy of your driving licence or passport and a recent utility or credit card bill.
Request access to your personal information:
You have the right to access any personal information that Aotal holds about you. If Aotal cannot give you access to the personal information that you have requested, then Aotal will let you know the reasons for not disclosing your personal information.
Aotal will not disclose personal information that Aotal holds about you on behalf of a customer. All requests for information held by Aotal on behalf of a customer need to be made to the customer, not Aotal.

Request correction of your personal information:
You have the right to request correction of the personal information that Aotal holds about you. Aotal will correct your personal information if it is necessary to ensure that personal information is accurate, up to date, complete and not misleading. If Aotal decides that it is not necessary to correct your personal information, Aotal will let you know the legal reasons for Aotal’s decision.
